MealLink camp privacy policy

RedBird Group Pty Ltd trading as MealLink

What this policy covers

RedBird Group Pty Ltd operates MealLink, software for ordering and collecting included meals at workforce camps. Your camp operator manages stays, staff access and kitchen service, and may have a separate privacy policy for those activities.

What information we handle

Camp staff provide details such as guest names, room assignments, stay dates and staff accounts. Guests use a private stay code. MealLink records meal orders, collection times, order status, instructions and feedback. You may choose to share dietary needs, allergies or intolerances. These details can reveal health information. You can discuss them directly with the kitchen. Use the dietary profile only for information relevant to meal service.

For company subscriptions, we record the accepting administrator, company, camp, accepted price, terms version, time and Stripe Checkout reference. Stripe handles card details. We handle sign-in and security records and, if you enable notifications, device subscription details. The website enquiry form collects contact details, company, room band and your message. Please keep guest details, stay codes and health information out of that form.

The in-app MealLink support form collects your reply email, issue category, description and signed-in workspace context. Requests are stored for the MealLink support team to investigate and manage. This is separate from camp reception or kitchen assistance. Do not include passwords, stay codes, payment details or health information. A support request is not a marketing subscription.

Camp administrators and assigned Managers can publish camp-information images, documents and short videos, with titles and captions. Files are available to authorised staff and guests with current access to that camp. Operators should publish only site-approved information suitable for that audience, without private resident records. We record who uploads or replaces files and who confirms setup checks, with the relevant time and camp. A recorded setup check is an operator acknowledgement, not automated approval of food suitability or site safety.

How we use and share information

We use this information to verify access, run meal ordering and collection, send requested updates and staff invitations, respond to enquiries, support operators and protect the service. Authorised camp staff can access records relevant to their role, including dietary details for kitchen service. We use service providers for hosting, enquiry and invitation email, and enabled notifications. Invitation emails include the recipient’s staff email, company, assigned role and camps, and a private access link; they do not include a password or resident dietary records. We may disclose information where required or authorised by law.

Storage and overseas processing

MealLink uses Amazon Web Services in Sydney for its Australian hosting environment. Railway in the United States is also used during the hosting transition and for retained recovery copies. Resend handles enquiry and staff invitation delivery. Apple or browser push providers may process notification delivery information. Providers may process information outside Australia. MealLink uses role permissions and protected sessions. Keep staff credentials, private invitation links and stay codes private.

Retention depends on the record and why it is needed, including meal service, support, security, disputes and legal obligations. Expiry of a stay code does not delete the associated records. Contact us if you would like to discuss retention or request removal of optional dietary details.

Authorised camp management can replace or permanently remove a published camp file after confirmation. Removal ends access to the active copy; it cannot recall copies already downloaded or printed. Backup and security records may remain subject to their applicable retention and access controls.

Access, correction and complaints

Contact your camp operator about your stay or camp records. For information held by RedBird, requests to access or correct information, or complaints about its handling, email info@redbirdgroup.com.au. We may need to verify your identity. If a complaint remains unresolved, you can contact the Office of the Australian Information Commissioner.
